Information processed through Solvé services
When Solvé designs, implements, or operates an AI employee, automation, or managed system for a client, the system may process business or customer information necessary to perform the contracted responsibilities, such as:
- caller, lead, prospect, or customer contact information;
- call metadata, recordings, transcripts, and summaries where enabled;
- conversation content and qualification responses;
- appointment and scheduling information;
- CRM or customer records;
- approved business knowledge, FAQs, policies, and workflow instructions;
- lead status, routing information, follow-up status, and task information;
- system logs, usage information, and performance data; and
- AI-generated or AI-assisted outputs created as part of the contracted service.
Information collected automatically
When you use our websites or digital services, we and our service providers may automatically collect information such as your IP address, browser and device type, operating system, referring pages, pages viewed, approximate location derived from IP address, dates and times of access, interactions with forms or widgets, cookie identifiers, and similar usage and diagnostic data.
Information from third parties
We may receive information from service providers and platforms that support our operations, such as website and CRM providers, scheduling tools, communications providers, AI model providers, analytics services, payment processors, integration platforms, and referral sources. We may combine that information with information you provide directly.
3. AI Agents, Calls, Recordings, and Transcripts
Our services may allow you to speak or chat with an AI agent, including our phone concierge, focused demonstration agents, Voice Revenue Audit experiences, Find My First AI Hire planning experiences, and AI employees operated for clients. Our public AI agents are intended to identify themselves as AI where appropriate.
Depending on the feature, configuration, and applicable law, calls or browser-based voice sessions may be recorded, transcribed, summarized, analyzed, or stored. We may use these materials to:
- respond to your request and maintain conversation continuity;
- provide demonstrations, assessments, recommendations, scheduling, and support;
- perform the contracted responsibilities of a client AI employee;
- create authorized contact records, summaries, tasks, or internal notes;
- review agent quality, troubleshoot failures, protect against misuse, and improve service operation; and
- meet legal, security, contractual, and recordkeeping obligations.
A demonstration is a simulation unless we clearly state otherwise. Demo agents are not configured client systems and do not access real business records or take real external actions unless you clearly leave demo mode, authorize the action, and the applicable system confirms success.
If you do not want information included in a recording or transcript, do not share it. Where consent is required, the applicable notice or consent process should be used.
4. How We Use Information
We may use information to:
- operate, maintain, secure, and improve our websites, AI agents, assessments, calendars, communications, and services;
- answer questions, provide requested demonstrations, conduct assessments, recommend potential AI workforce solutions, and schedule appointments;
- qualify potential clients and route them to the appropriate next step, nurture path, resource, or service;
- design, configure, build, test, launch, maintain, and improve contracted AI employees and automation systems;
- provide onboarding, support, billing, account administration, and client communications;
- remember authorized conversation or service context so information does not need to be repeated unnecessarily;
- send transactional messages, including requested links, appointment confirmations, reminders, service notices, and support responses;
- send marketing communications when permitted and honor opt-out requests;
- analyze usage, call quality, conversion paths, service performance, errors, and security events;
- detect fraud, abuse, unlawful activity, and threats to our systems or users;
- enforce agreements and protect our rights, safety, property, users, and the public; and
- comply with applicable law, lawful process, and regulatory obligations.
5. Artificial Intelligence and Automated Processing
Solvé uses artificial intelligence technologies to provide certain services. Information may be processed by AI model providers, cloud infrastructure providers, telephony providers, automation platforms, and other service providers as reasonably necessary to perform the requested or contracted function.
AI systems may process text, voice, documents, business knowledge, workflow instructions, customer information, and other content depending on the implementation.
We do not represent AI output as infallible. Depending on the service, systems may include human review, approval, escalation, correction, or other governance controls.
6. Cookies and Similar Technologies
We and our service providers may use cookies, pixels, local storage, analytics tools, and similar technologies to operate the site, remember preferences, understand traffic and interactions, maintain security, measure marketing effectiveness, and improve performance. Some technologies may be set by third-party services embedded in our pages, including CRM, scheduling, communications, analytics, and media providers.

7. How We Share Information
We do not sell personal information to advertisers for monetary consideration. We may disclose information:
- to vendors and service providers that host or support our websites, CRM, AI agents, telephony, recordings, transcripts, email, SMS, scheduling, analytics, integrations, payments, security, storage, automation, and professional operations;
- to AI model and infrastructure providers when necessary to provide an AI-enabled service;
- to professional advisers, auditors, insurers, contractors, and personnel who need the information to perform authorized work;
- when you direct us or give permission;
- to comply with law, subpoenas, court orders, regulatory requests, or other lawful process;

- as part of a merger, financing, acquisition, reorganization, sale of assets, dissolution, or similar business transaction, subject to appropriate protections.
Our providers may process information in the United States or other locations where they operate. Their handling of information is governed by their contracts, applicable law, and their privacy practices.
8. Client Data and Our Role as a Service Provider
When a business hires Solvé to operate an AI employee, automation, integration, or managed service, Solvé may process personal information on that business’s behalf.
In those circumstances, the client generally determines what information is submitted, the purposes of processing, what systems are connected, who receives information, and what notices or consents are required. Clients are responsible for ensuring they have lawful authority to provide that information to Solvé and to instruct Solvé to process it.
Where appropriate, additional privacy, confidentiality, security, or data-processing terms may be included in a service agreement or data processing addendum.
If you interact with a Solvé-powered system on behalf of one of our clients and have a privacy request concerning that client’s data, you may need to contact that business directly.
9. Calls, Recording Consent, Email, and Text Communications
Some voice services may use call recording or transcription. Recording and consent laws vary by jurisdiction. Where recording is enabled for a client system, the client is responsible for identifying and implementing any notices, disclosures, permissions, or consents required for its particular business and callers unless Solvé has expressly agreed in writing to provide that compliance function.
We may send transactional communications you request or that relate to an appointment, assessment, inquiry, or service. We may send marketing email or text messages when permitted by law and when any required consent has been obtained.
You may unsubscribe from marketing email by using the unsubscribe link. You may opt out of supported marketing text messages by replying STOP. Reply HELP for help when supported. Message and data rates may apply. Consent to receive marketing communications is not a condition of purchase.
Clients using Solvé systems to send calls, texts, emails, or other communications are responsible for ensuring their contact lists, consent practices, and messages comply with applicable laws and platform requirements unless otherwise agreed in writing.
10. Sensitive and Regulated Information
Do not provide highly sensitive, regulated, or legally restricted information unless its use is necessary for the agreed service and appropriate safeguards have been established.
Examples may include protected health information, payment-card information, Social Security numbers, highly sensitive financial information, biometric information, confidential legal case information, government identification numbers, or other regulated data.
Certain industries may require additional privacy, security, contractual, or regulatory controls. Those requirements must be identified during discovery or implementation.
Solvé does not claim that every default AI employee, workflow, website feature, or demonstration is automatically compliant with HIPAA, GLBA, PCI DSS, or other industry-specific requirements.
11. Data Retention
We retain information for as long as reasonably necessary for the purposes described in this policy, including providing services, maintaining business and transaction records, preserving authorized call or conversation history, resolving disputes, enforcing agreements, protecting security, and meeting legal obligations. Retention periods vary based on the type of information, the context in which it was collected, contractual requirements, client instructions, provider capabilities, and applicable law.
We may de-identify or aggregate information so it can no longer reasonably identify you. We may retain and use de-identified or aggregated information for lawful business purposes.
12. Data Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information. No internet transmission, telephone system, AI service, integration, storage platform, or security measure is completely secure. We cannot guarantee absolute security.
13. Your Privacy Choices and Rights
Depending on your location and applicable law, you may have rights to request access to, correction of, deletion of, or a copy of certain personal information; to object to or restrict certain processing; or to withdraw consent where processing is based on consent.
To make a request, email [email protected]. We may need to verify your identity before completing a request. Some information may be retained or excluded from a request when permitted or required by law. You may also use available unsubscribe, STOP, cookie, reschedule, or cancellation controls.
14. Children’s Privacy
Our commercial websites and services are intended for adults and businesses. They are not directed to children under 13, and we do not knowingly collect personal information from children under 13 through our commercial services. If you believe a child has provided personal information, contact us so we can review and take appropriate action.
15. Third-Party Services and Links
Our websites and services may link to or integrate with third-party platforms. We are not responsible for the privacy, security, availability, or content of third-party services. Review their policies before providing information directly to them.
16. Business Transfers
If Solvé is involved in a merger, acquisition, financing, reorganization, sale of assets, dissolution, or similar transaction, information may be transferred as part of that transaction, subject to applicable law and appropriate protections.
17. Changes to This Policy
We may update this Privacy Policy as our services, providers, technologies, and legal obligations change. We will post the revised policy with a new “Last updated” date. Where required, we will provide additional notice.
